Privacy Policy

This policy explains what personal information we collect, why we collect it, how we protect it, and the rights you have over it. It is written in plain, member-friendly English — but it is a real legal document, and it applies whenever you use African Betting Clan.

In short: we collect the minimum we need to run a safe, free community forum; we never sell your data; tracking only happens if you say yes; and you are in control of your account and your posts. The sections below set out the full picture, section by section.

1. Who we are

African Betting Clan ("ABC", "we", "us") is a South African community forum for horse racing and sports betting discussion, online at africanbettingclan.com. We are the "responsible party" under the Protection of Personal Information Act 4 of 2013 ("POPIA"). That means we decide how and why your personal information is processed, and we are accountable to you for it.

POPIA protects any information that relates to an identifiable living person — your name, email address, IP address, and even your posts and opinions. Under the Act, that information belongs to you, and we may only process it for lawful purposes and with your rights in mind. This policy is our promise of how we do that.

2. Information Officer

POPIA requires every responsible party to register an Information Officer, who oversees compliance with the Act. Our Information Officer is responsible for POPIA compliance across the site and can be reached at privacy@africanbettingclan.com. If you have any question, request, or complaint about your personal information, that address is the right place to start.

3. What we collect

We collect only what we need to run the forum properly. Depending on how you use the site, that includes:

  • Registration details: your username, email address and a password. Passwords are stored hashed — we never store plain-text passwords. You may optionally add a profile picture or other profile details.
  • Content you post: topics, replies, likes and thanks. Remember that under POPIA, anything you post can be personal information — even if it does not feel like it.
  • Technical data: your IP address and browser/device information, used for security and abuse prevention.
  • Contact form messages: anything you send us through the contact form.
  • Cookie and analytics data: see section 7 below.
  • Payment records (future): if we later offer paid subscriptions, payments are processed via PayFast. We do not store card numbers — those never touch our servers.

4. Why we process it (purposes)

POPIA requires a lawful basis for every use of personal information. We do not collect data "just in case" — each thing we hold has a clear job to do, and nothing we do is hidden from you. Our bases are:

  • To operate your account and the forum (contract): we cannot run your account, show you topics, or save your posts without processing your data.
  • To keep the forum safe and free of spam and abuse (legitimate interest): we monitor technical data and moderate content so the community stays usable and welcoming.
  • To show relevant sponsor advertising (legitimate interest): the forum is free to use, and advertising keeps it that way.
  • To improve the site (analytics, only after consent): we use aggregated statistics to understand what works — and we only run analytics after you accept our cookie banner.
  • To answer your questions (contact form): when you contact us, we need your details to reply.

Where we rely on legitimate interest, we balance it against your rights and interests as a member: we only process what is necessary, and never in a way that would surprise you or harm you.

We never sell personal information. Full stop.

5. Public content warning

The forum is a public community. Anything you post — topics, replies, likes, thanks — is public and can be read, shared, and indexed by search engines. Do not post sensitive personal information such as ID numbers, addresses, or financial details. No forum post is ever truly private: treat every post like a letter to the world, because that is effectively what it is.

A good habit: before you hit post, ask yourself whether you would be happy seeing that text on a billboard. If the answer is no, leave the detail out — you can always share the specifics privately over email instead.

You can edit or delete your own posts at any time using the in-app tools. If you need help removing something you posted, or if someone else posted your personal information, contact privacy@africanbettingclan.com and we will help.

6. Ask-AI

Ask-AI answers questions using forum content. Your questions and the forum posts they reference may be processed by our AI providers (OpenAI and DeepSeek) to generate answers. Ask-AI is available to logged-in members only.

Please do not include personal information in your questions. Ask-AI is a helpful tool, but it is not a private channel.

7. Analytics & cookies

We use Google Analytics 4 for usage statistics. Analytics cookies are non-essential: they only load after you accept our cookie banner (Accept/Decline). You can decline — declining means no tracking scripts load, ever. There is no "we'll just use a little bit" version: no consent, no tracking, full stop. The site works exactly the same either way.

Your choice is stored in your browser for 7 days, and you can change it at any time by clearing your browser storage (or simply by visiting the site again after the 7 days have passed). GA4 data may be processed outside South Africa; see section 9 for how we protect it.

8. Sharing & service providers

We share data only with the providers that actually run the site:

  • Hosting: cPanel hosting provider.
  • Email: transactional and support email delivery.
  • Analytics: Google (Google Analytics 4).
  • AI: OpenAI and DeepSeek (Ask-AI).
  • Vector search: Qdrant (self-hosted).
  • Payment (future): PayFast for any paid services.
  • Embedded content: YouTube (video embeds).

Each of these providers is bound by contract to protect personal information and to notify us of any breach. We do not sell or rent personal information to anyone.

9. Cross-border transfers

Some of our providers (Google, OpenAI, DeepSeek, YouTube) are located outside South Africa, which means your personal information may be transferred across borders. We rely on contracts with those providers that contain adequate-protection safeguards, as required by section 72 of POPIA, so your information enjoys a similar level of protection wherever it is processed. Where a transfer is necessary for a service you asked for — such as Ask-AI generating an answer from your question — it happens under those same safeguards.

10. Advertising & sponsors

Sponsor banners link out to bookmaker sites. Clicking an ad takes you to the sponsor's site, where their privacy policy applies from that point on. We do not share your personal information with sponsors for their own marketing purposes.

11. Retention

We keep personal information only as long as we need it:

  • Accounts and posts: for as long as the forum operates — posts are a public record, like a newspaper archive.
  • IP and security logs: kept for a limited period, approximately 90 days.
  • Contact-form messages: kept as long as needed to answer you.

When you delete your account we delete or anonymise your personal data. Your posts are generally kept — they are part of the public record — but we disassociate them from you where possible. If you need help with this, contact us.

12. Security

We protect your data with (POPIA section 19):

  • HTTPS encryption everywhere on the site;
  • hashed passwords — never stored in plain text;
  • admin access controls — only authorised staff can reach personal data, and access is limited to what each role needs;
  • regular backups;
  • rate-limiting and spam protection.

Security is a continuous job, not a one-time fix. We review our safeguards as the site and the threat landscape change, and we require our service providers to maintain equivalent safeguards.

13. Your rights

Under POPIA, you have the right to:

  • Request access to your personal information — confirm what we hold and receive a copy;
  • Request correction or deletion of inaccurate or irrelevant data;
  • Object to processing on reasonable grounds;
  • Withdraw consent at any time;
  • Complain to the Information Regulator.

To exercise any of these rights, email privacy@africanbettingclan.com — we will verify your identity first, to make sure we are only giving your data to you. You can also use the in-app tools: edit your profile, edit or delete your posts, or delete your account entirely. We respond to all requests as soon as reasonably practicable, and we never charge you for simply asking about your rights.

If you ask us to delete data, we will do so unless we are legally required to keep it (for example, for security logging). If we cannot honour a request, we will tell you why, in writing.

14. Breaches

If your personal information is ever accessed by an unauthorised person, we will notify the Information Regulator and the affected individuals as required by section 22 of POPIA — so you will hear about it from us, first, with clear information about what happened and what we are doing about it.

15. Direct marketing & newsletter

We only send marketing email (newsletters, offers) if you opt in. Every marketing email includes an unsubscribe link and clearly identifies us as the sender. You can opt out at any time — one click, no questions, no hard feelings.

16. Children

The forum is for people 18 and over — it discusses gambling content, which is for adults only. We do not knowingly collect personal information from children. If you believe a child has registered, please contact us and we will investigate and remove the account.

17. Third-party links & embeds

YouTube embeds and sponsor links are operated by their own providers, under their own privacy policies. When you leave African Betting Clan, their policies apply — we recommend glancing at them, especially on sites where you are not signed in.

18. Changes to this policy

We may update this policy from time to time — as the site grows, the law evolves, or our providers change. Material changes will be announced on the site, so you will always have a chance to read the new version before it affects you. The effective date below shows when the current version applies from, and each new version replaces the one before it.
